PRIMA CRM

PRIMA CRM brand card

PRIMA CRM keeps a structured record of the people and organisations you work with. It runs inside your AI Business OS workspace as an MCP server. An MCP server is a small program that gives Claude a set of tools. Your records live in a SQLite database inside the workspace. You ask Claude about any company or person in plain language, and the answer comes from the record itself.

This manual describes PRIMA CRM version 1.6.1.

The C in CRM stands for contact. Clients are one case, and the same record also covers suppliers, partners, freelancers and internal departments. Each company carries a relationship that says which of these it is. The relationship decides how the CRM treats the company. A workspace that sells training and a workspace that coordinates vendors can both use the same database.

Record What it holds
Companies Name, relationship, status, industry, website, tags and notes
Contacts The people at each company, with role, email, phone and how they first reached you
Interactions Every call, email, meeting, note and proposal, with a date and a summary
Follow-ups A date and an action attached to an interaction, listed when due
Engagements The arrangement with a company, typed as a sale, a purchase, a partnership or other, with a stage and a value
Project links Which of your projects each company belongs to
Project relations How one project connects to another
Segments Saved filters you can run again

Each record type has its own page under Records, starting with Companies.

  • Answers questions about a company in one call. Claude can show who the company is, its contacts, every engagement, recent interactions, follow-ups and linked projects together.
  • Reads live project state. A company profile shows the status and task progress of each linked project. The CRM reads these from the project register at the moment you ask.
  • Tells you where contact has lapsed. Each relationship has an expected contact rhythm. The CRM lists active companies that have gone quiet for longer than their rhythm allows. See Stale Clients and Contact Cadence.
  • Builds a dashboard. A script writes one HTML file with your pipeline, every company, follow-ups due and recent activity. See The CRM Dashboard.

You talk to Claude in your workspace, and Claude calls the CRM tools for you. With the sentence below, Claude creates a company, adds the contact and logs the email.

Had an email today from Aoife Brennan at Harbour Design Studio asking about
a training day for their team. Add them and log it.

Later questions work the same way.

What's the state of play with Harbour Design Studio?
Which follow-ups are due this week?
Which clients have we not spoken to in a while?

The Tools Reference lists every tool and action so you know what Claude can do on your behalf.

PRIMA CRM needs AI Business OS. At start-up the server checks for the project register, .claude/state/state.json, which AI Business OS creates when you run /setup. Without that file, or when the file holds no list of projects, the server stops.

You do not need PRIMA Project Management to run the CRM. When you have it, its daily briefing opens the Today view of its dashboard, which reads the CRM for follow-ups and stale clients. See The Daily Briefing and The Today View.

PRIMA CRM runs on Node.js 18 or later, and the product team builds and tests it on macOS. Windows is not directly supported.

Version 1.6.1 can read which email, calendar and meetings services your workspace has connected. It has no code that fetches anything from those services. Nothing syncs into the CRM automatically, so you record contact by telling Claude about it. Email, Calendar and Meeting Sync explains what the sync tool reports today.

Three integrations with PRIMA Project Management commands are also planned and not built yet. They are listed below.

  • Reconciling a session’s work against interactions at /save and /night.
  • Creating CRM records from /newclient.
  • A pipeline section in /status.
